Standard phraseology & callsigns

Why phraseology matters

Standard radiotelephony (RT) phraseology exists so messages are understood first time, even with poor signal, accents or high workload. UK RT follows CAP 413. Say exact words in the right order - do not paraphrase.

The phonetic alphabet and numbers

  • Use ICAO phonetics for all letters: Alfa, Bravo, Charlie, Delta, Echo, Foxtrot, Golf, Hotel, India, Juliett, Kilo, Lima, Mike, November, Oscar, Papa, Quebec, Romeo, Sierra, Tango, Uniform, Victor, Whiskey, X-ray, Yankee, Zulu.
  • Numbers are spoken digit by digit, e.g. 25 is 'two five', except whole hundreds and thousands (100 = 'one hundred', 3000 = 'three thousand').
  • Altitudes/flight levels: 'flight level one two zero', 'altitude two thousand five hundred feet'.
  • Headings and QNH are given digit by digit, e.g. QNH 1013 is 'one zero one three'.

Callsigns

  • Full callsign is used on first contact and whenever safety needs certainty (e.g. read-back of instructions).
  • G-registered aircraft: say the full mark or, once established, the abbreviated form using the last three letters, e.g. G-ABCD becomes 'Golf Charlie Delta'.
  • ATC may abbreviate your callsign first - only then may you abbreviate too. Never abbreviate before ATC does.
  • Never shorten a callsign if there is a similar callsign on frequency - full callsign must be used to avoid confusion.

Key transmission words

  • 'Roger' = message received and understood (not 'yes' or agreement to comply).
  • 'Wilco' = will comply with the instruction.
  • 'Affirm' = yes; 'Negative' = no (never use plain 'yes/no').
  • 'Read back' = repeat this message back exactly.
  • 'Say again' = repeat your last transmission.
  • 'Standby' = wait, I will call you.
  • 'Over' = my transmission ends, I expect a reply. 'Out' = conversation finished, no reply expected. Never say 'over and out' together.
  • 'Break break' separates unrelated urgent messages on a busy frequency.

Mandatory read-backs

Certain items must always be read back in full: runway-in-use instructions, level (altitude/height/flight level) instructions, heading instructions, altimeter settings (QNH/QFE), transponder codes, airways/route clearances, and any instruction to hold, cross, enter, backtrack, or line up on a runway.

Common mistakes to avoid

  • Mixing plain English with standard phrases mid-transmission causes confusion - stay consistent.
  • Forgetting to read back mandatory items, especially runway and level instructions.
  • Using 'okay' or 'yeah' instead of 'affirm' or 'wilco'.
  • Not including your callsign at the start and end of transmissions when required, or dropping to abbreviated form too early.
  • UK standard RT phraseology is defined in CAP 413.
  • The ICAO phonetic alphabet must be used for all spelt letters, e.g. Alfa, Bravo, Charlie.
  • Numbers are transmitted digit by digit except whole hundreds and thousands.

Aerodrome & circuit calls

Why aerodrome calls matter

At an uncontrolled (unattended or A/G) aerodrome you are talking to a Flight Information Service Officer (FISO) or an AFIS operator who gives information, not instructions - or nobody at all if it is a pure air-ground radio. At a controlled aerodrome the tower issues instructions you must comply with. Knowing which service you have changes both your phraseology and your legal obligations.

The standard circuit calls

A typical VFR circuit sequence at a UK aerodrome runs:

  • Taxi call: request taxi, state stand/location and intentions.
  • Ready for departure: at the holding point.
  • Airborne call: report airborne if required.
  • Downwind call: the big one - report 'downwind' with your position in the circuit, often adding 'for a full stop' or 'touch and go'.
  • Base leg / final call: report 'final' when established, usually inside about 4 nm or as locally required.
  • Landing clearance or traffic information depending on the unit type.

Standard overhead join

The classic UK join is via the overhead: cross at a safe height (commonly 2,000 ft above aerodrome level, but always check the height given), descend on the dead side, and join crosswind or downwind having identified the circuit direction and runway in use from the wind indicator or ATIS/AFIS information.

Circuit height and direction

Circuit height is aerodrome-specific - commonly 1,000 ft QFE for light singles - but you must use the published or broadcast figure, not a memorised default. Circuit direction (left-hand or right-hand) is also aerodrome-specific and must be confirmed; flying the wrong-hand circuit is a classic exam trap and a real-world hazard.

Key phraseology patterns

  • Always give callsign, position, and intentions in that order on first contact.
  • 'Request joining information' is the standard call when inbound to an unfamiliar or unattended field.
  • At an A/G station the response is information ('Runway 27, QFE 1013, circuit left-hand') not an instruction - you remain responsible for your own separation.
  • Read back all runway-in-use, QFE/QNH, and any conditional or instructional elements exactly as given.

Common mistakes to avoid

  • Confusing FISO/AFIS information with an ATC clearance - it is advisory only.
  • Forgetting to state 'touch and go' or 'full stop' on the downwind call, which affects following traffic's expectations.
  • Omitting your position in the circuit report, making it hard for other pilots to build a mental picture.

ATC clearances & readbacks

What a clearance actually is

An ATC clearance authorises you to proceed within specific conditions - it is not an instruction that overrides the rules of the air, and it does not guarantee separation from terrain or obstacles (you still fly the aircraft safely). A clearance can be for taxi, take-off, route, level, or approach.

The readback rule

UK CAA (via CAP 413) requires full readback of the safety-critical items:

  • Route clearances
  • Level instructions (climb, descend, cruise level)
  • Heading and speed instructions
  • Altimeter settings (QNH, QFE)
  • Runway-in-use, clearance to enter, land, take-off, backtrack, cross, or hold short of any runway
  • Transponder codes (squawk)
  • VDF (radio direction finding) information

Partial readback with your own callsign is fine for non-critical items (e.g. frequency changes), but the items above must always be read back in full, using your full callsign, and in the same order ATC gave them.

Why readback matters

Readback lets the controller catch a mishear before it becomes a mistake. If you read back a clearance incorrectly, ATC MUST correct you immediately - silence after a readback does not mean agreement, but a controller not intervening after a correct readback does confirm it.

Common mistakes

  • Reading back only part of a level or heading instruction
  • Mixing up QNH and QFE, or reading back the wrong figure
  • Forgetting your callsign at the start of the readback
  • Accepting a clearance you did not fully understand instead of saying 'say again'
  • Reading back a squawk code as individual digits incorrectly grouped
  • Assuming a clearance limit means the whole route is clear - a clearance limit is the point beyond which you are NOT authorised to fly without further clearance

Clearance limits and conditional clearances

If ATC issues a clearance 'to hold short of' or 'not above' a level, that condition is binding until amended. If you cannot comply (weather, performance), you must say so immediately rather than accept and hope.

If unsure

Use 'say again' to have the whole or part of a transmission repeated, or 'confirm' to check your understanding of a specific item. Never guess a clearance - an incorrect assumption is a major cause of airspace infringements and runway incursions.

Readback format

Always: callsign first or last (UK convention favours callsign at the end of the readback, though beginning is also acceptable and commonly taught), clearance details read back in the order given, using standard phraseology and numbers pronounced individually (e.g. 'two five zero zero' for 2500).

  • CAP 413 requires full readback of level, heading, speed, altimeter setting, transponder code, and any runway-related clearance (enter, backtrack, cross, hold short, take-off, land)
  • A clearance authorises action within stated conditions - it does not guarantee terrain or obstacle separation, that remains the pilot's responsibility
  • Readback must include your full aircraft callsign so ATC can positively identify who is reading back
  • If a readback is incorrect, the controller must issue the correct version immediately - do not assume silence means agreement
  • A clearance limit is the point beyond which you must not proceed without further ATC clearance
  • QNH and QFE must never be confused in a readback - QNH gives altitude above mean sea level, QFE gives height above the airfield
  • Use the phrase 'say again' to request repetition of all or part of a transmission you did not copy
  • Use 'confirm' followed by the item when you want ATC to verify a specific detail rather than repeat everything
  • Frequency changes and general acknowledgements may be read back with just your callsign, they are not safety-critical items requiring full readback

Radio failure procedures

What counts as radio failure

Radio (COM) failure means you can no longer transmit and/or receive on the frequency in use. It is different from a full electrical failure, though the same drill often applies if you cannot isolate the fault. Always suspect the simple things first: wrong frequency selected, volume too low, headset unplugged, squelch set wrong, or a stuck transmit button on someone else's aircraft blocking the frequency.

First actions in the cockpit

  • Check headset jacks, volume, squelch and that the correct frequency is selected.
  • Try the standby radio or a handheld if carried.
  • Try transmitting blind even if you cannot hear anything back - the other station may still hear you.
  • Set transponder to 7600, the dedicated radio failure code, unless already squawking 7700 for an emergency.
  • Continue to fly the aircraft and navigate safely - a comms failure is not an emergency in itself, so do not let it distract from flying accurately.

VFR flight - general principle

If VMC, the standard advice is to remain in VMC, continue on your flight plan and land at the nearest suitable aerodrome, then telephone ATC as soon as possible after landing. If you are in a control zone, leave it by the most direct route if this can be done without prejudicing safety.

Joining an aerodrome without radio

Watch for a light signal from the visual control room - a steady green means cleared to land, a steady red means give way and continue circling, flashing red means the aerodrome is unsafe, land elsewhere. Fly a standard overhead join or conform to the visual circuit pattern already in use, watching carefully for other traffic and for signals square (a marker showing right-hand circuits in force).

IFR flight in controlled airspace

Squawk 7600 and follow the last ATC clearance received - level, heading and route. If holding, expect further clearance at the last acknowledged time, or leave the hold at the expected approach time. Maintain the last assigned level, or the minimum safe altitude if higher, and proceed to the appropriate navigation aid or clearance limit for an approach, aiming to arrive as close as possible to your original ETA.

Common exam traps

  • 7600 is radio failure, 7700 is general emergency, 7500 is unlawful interference - do not mix these up.
  • Blind transmissions should still follow full RTF phraseology and include your intentions.
  • A dead battery affecting radio AND transponder means you cannot squawk 7600 either - light signals then become your only means of ATC communication.
  • Loss of the radio does not automatically mean declaring a Mayday; only do so if the situation also becomes an emergency.
  • Squawk 7600 on the transponder for radio failure - never confuse it with 7700 (emergency) or 7500 (unlawful interference).
  • In VMC, the standard drill is: remain VMC, continue the flight, land at the nearest suitable aerodrome, then telephone ATC after landing.
  • Leave controlled airspace by the most direct route if this does not compromise safety.

Distress & urgency — MAYDAY, PAN

What counts as distress vs urgency

Distress means you're threatened by grave and imminent danger and need immediate help - engine failure, fire, structural damage. Urgency means you have a safety concern that isn't yet life-threatening - you're unsure of position, running low on fuel, or a passenger is ill. The two calls use different key words and different priorities, and mixing them up is a common exam trap.

The MAYDAY call

Say the word MAYDAY three times to open the transmission - this is what separates it from routine RT and grabs everyone's attention on frequency. The structure to remember is MAYDAY DDD: Mayday x3, station addressed, aircraft callsign, then nature of emergency, intentions, present position, heading, altitude, and souls on board (often remembered as the mnemonic 'Mayday Mayday Mayday, [station], [callsign], Nature, Intention, Position, Level/Heading, Souls, other useful info'). Keep it as short and clear as possible - controllers need the key facts fast, not a long story.

The PAN PAN call

Say PAN PAN three times (pronounced 'pan pan', from the French panne, meaning breakdown). The message content follows the same broad shape as a Mayday - identification, nature of the problem, intentions and position - but the urgency is one notch below distress. A PAN call still gets priority handling from ATC over normal traffic.

Who to call and on what frequency

Transmit on the frequency you're currently using if practical - don't waste time searching for a different one first. If you get no response, or you're not on a frequency being monitored, use the emergency frequency 121.5 MHz, which is guarded by ATC units and many other aircraft. Squawk 7700 on the transponder for distress if instructed or appropriate - this alerts radar controllers even before you speak.

Who can declare and who can help

Any station (including another aircraft) that hears a distress call and believes the aircraft needing help cannot communicate directly may relay the message - this is called a MAYDAY RELAY. Any station may also acknowledge a distress message if ATC doesn't respond immediately, so silence isn't a rule - someone should always answer.

Cancelling the emergency

Once the emergency is over, the pilot (or on their behalf, the controlling station) must broadcast a cancellation message, typically 'MAYDAY CANCEL' or 'PAN PAN CANCEL' with details, so the frequency and other traffic return to normal and search/rescue resources aren't tied up unnecessarily.

Common exam mistakes

  • Forgetting the triple repetition of MAYDAY or PAN PAN - it must be said three times, not once or twice.
  • Confusing which situation needs which call - grave and imminent danger is Mayday, not urgent-but-manageable.
  • Believing you must change frequency before transmitting - use the current one first.
  • Forgetting to cancel the emergency once resolved.
  • MAYDAY is said three times to open a distress call: MAYDAY MAYDAY MAYDAY.
  • PAN PAN is said three times to open an urgency call: PAN PAN PAN PAN PAN PAN.
  • Distress = grave and imminent danger requiring immediate assistance; urgency = a safety concern that is not immediately life-threatening.

What a transponder does

A transponder is a box that replies automatically to radar interrogations from ground secondary surveillance radar (SSR). It sends back a squawk code (four digits, each 0-7) and, if fitted, altitude data. This lets controllers see your identity and level on their screen, not just a blip.

Modes you need to know

  • Mode A: sends the squawk code only, no altitude.
  • Mode C: sends the squawk code plus pressure altitude (from the aircraft's static system, referenced to 1013 hPa).
  • Mode S: sends a unique 24-bit aircraft address plus extra data (like callsign and sometimes GPS position), and supports selective interrogation, cutting down radar clutter. Most UK controlled airspace now expects Mode S.

Standard squawk codes to memorise

  • 7000 - general conker/VFR conspicuity code used in the UK when not assigned another code.
  • 7500 - unlawful interference (hijack).
  • 7600 - radio failure.
  • 7700 - general emergency.

These three emergency codes (7500/7600/7700) are internationally recognised, so never dial through them casually when changing squawks - always route around, for example 7000 to 2000 to 4000 rather than passing through 7500, 7600 or 7700.

Transponder use in the circuit and en route

Always select the assigned squawk and Altitude (ALT) or the correct mode before flight, and squawk standby only on the ground or when told to. Confirm 'IDENT' only when asked by ATC - it highlights your return on the controller's screen for a few seconds.

Basic ATC service types (UK)

Outside controlled airspace a pilot can request one of these from a radar unit:

  • Basic Service: traffic information may be given but only as workload allows; no specific deconfliction advice; pilot remains fully responsible for collision avoidance.
  • Traffic Service: controller gives you traffic information on relevant aircraft and vectors if requested, but you still avoid the traffic yourself.
  • Deconfliction Service: the controller gives you specific traffic avoidance instructions to keep you a defined distance from other traffic (typically 5nm laterally or 3000ft vertically), the most protective basic service.
  • Procedural Service: no radar used; separation is achieved through procedures, reporting points and time/level instructions, common when no radar coverage exists.

Common mistakes

  • Confusing Mode A (identity only) with Mode C (identity plus altitude) - Mode C is what lets ATC read your level.
  • Dialling through an emergency code (7500/7600/7700) by accident when resetting a squawk.
  • Thinking Basic Service means ATC is watching out for you - it doesn't; you keep full responsibility for separation.
  • Mixing up Traffic Service (information only) with Deconfliction Service (active avoidance instructions).
  • Squawk 7000 is the standard UK VFR conspicuity code when no other code is assigned.
  • Squawk 7500 means unlawful interference (hijack).
  • Squawk 7600 means radio communication failure.
